Job DescriptionCoca-Cola Beverages South Africa (CCBSA) has an exciting opportunity in our Manufacturing Department. We are looking for talented individual with relevant skills and experience for Secretary, which is based in Phoenix. The successful candidate will report directly to the Manufacturing Manager in Phoenix. Key purpose: To support the Manufacturing Manager and provide Manufacturing teams with relevant administration and information in order for them to ensure sustainable operational effectiveness and competitiveness within clearly identified KPI’s in order to achieve market penetration and increased customer service.
Key Duties & ResponsibilitiesKEY OUTPUTS:
• Manage diary and coordinate meetings calendar for M&T Manufacturing Manager
• Schedule the relevant manager’s appointments and maintain daily calendar, taking responsibility for managing changes, actions and reminders
• Manage the distribution/collection of pre-meeting materials ensuring all pre-readings and reports are available before every meeting
• Develop presentations and reports for the Manufacturing Manager
• Compile relevant reports
• Keep record of all communications using sophisticated filing systems in order to ensure efficient retrieval and response
• Maintain general Archive and legacy-Appletiser Archive
• Compile internal memos, high level reports, presentations, agendas, letters, and responses – effectively managing all mail and correspondence on behalf of the relevant managers
• Manage and maintain contact lists
• Make relevant travel, flight, accommodation, transport and venue arrangements
• Co-ordination and planning of events
• Manage relationships with internal and external customers
• Manage all on-site meeting venues and office facilities.
• Procurement of resources aligned to procurement policy (RACM)
• Provide support to IT, HR, IR, Payroll, PAC, Financial Manager (Appletiser SA (Pty) Ltd), Legal.
• Ensure smooth and efficient running of the office
• Management of staff transport service
• Cost management

Skills, Experience & EducationQualifications & Experience :
• Relevant degree or equivalent would be an advantage
• Minimum of 5 years’ experience as Secretary to a member of Management
• Experience in preparing Power Point presentations and advanced Excel skills
• Excellent typing skills with excellent accuracy
• Fully computer literate with an Advanced level of MS Office
